Privacy Policy

KW Site Design (“we”, “us”) is a web design company based in the Kitchener–Waterloo–Cambridge region of Ontario, Canada. We can be reached at hello@kwsitedesign.com.

We collect only what we need to respond to you and deliver our services:

• Contact details you provide (name, business, email, phone).
• Project information you share in a quote or enquiry.
• Account information if you become a client (login and project data).
• Payment information processed by our payment provider; we never store full card numbers.
• Basic, privacy-friendly usage analytics that do not use cookies or track you across sites.

We use your information to respond to enquiries, prepare quotes, deliver and support our services, send invoices and receipts, and (only with your explicit consent) send occasional marketing emails. We rely on consent and the reasonable purposes of providing the services you request.

We send marketing email only to people who have given express consent. Every marketing message includes a working unsubscribe link and our contact details. Transactional messages (such as replies, quotes, and receipts) are sent as part of providing our services.

Our website uses privacy-friendly, cookieless analytics to understand overall traffic. We do not use advertising cookies or cross-site tracking. We do use a small number of essential, functional cookies — for example to keep you signed in, or to remember a referral code from a link you clicked so credit goes to the right referrer if you submit a quote. Any non-essential features that would use cookies are disabled until you consent.

To protect our forms from spam and abuse, we use Cloudflare Turnstile, a security check that runs invisibly in the background without displaying a visual challenge. Turnstile may process technical information such as your IP address and browser characteristics to verify that you are not a bot. Details are available in the Cloudflare Turnstile Privacy Policy.

We do not sell your personal information. We share it only with service providers who help us operate (for example, secure hosting, payment processing, and email delivery), under agreements that protect your data, and where required by law.

We use encryption in transit, hashed passwords, access controls, and reputable infrastructure. No method is perfectly secure, but we take reasonable steps to protect your information and limit how long we keep it.

Under PIPEDA you may request access to the personal information we hold about you, ask us to correct it, or withdraw consent (subject to legal and contractual limits). Contact us at hello@kwsitedesign.com and we will respond within a reasonable time.

We may update this policy from time to time. The “last updated” date above shows when it last changed.
